Visa And Travels
Visa information
France is part of the Schengen Area, which includes 26 European countries allowing free movement without internal border checks. This covers most EU member states and some non-EU countries such as Norway and Switzerland.
If you are a non-EU/EEA national planning to visit France for less than three months, you may need a short-stay Schengen visa (Type C).
- More details: https://france-visas.gouv.fr/en/web/france-visas/visa-de-court-sejour
- This visa, issued by a Schengen country’s consulate, allows travel within the Schengen Area for a limited period.
- Certain nationalities are exempt from this requirement.
To calculate your remaining authorized days under a Schengen visa, use the official EU Calculator: https://ec.europa.eu/assets/home/visa-calculator/calculator.htm?lang=en ↗.
Visa applications should be submitted to the French embassy or consulate in your country of residence, or to the embassy of the Schengen country representing France. These offices provide full details on requirements and procedures.
Entry/Exit System (EES) – Important for Non-EU Participants
As of 12 October 2025, the Entry/Exit System (EES) is operational across all EU countries. This automated system records when travelers from non-EU countries cross the EU’s external borders with a short-stay visa or a visa-exempt passport.
If you are attending the conference and coming from outside the European Economic Area (EEA) for less than 90 days, you must register through the EES upon arrival.
The system is designed to enhance security, prevent identity fraud, and ensure compliance with migration rules.
Before you travel, please check the official guidelines here: https://travel-europe.europa.eu/ees ↗.
Invitation letters
If you require an official invitation letter from the conference for visa purposes:
- Only fully paid registrations are eligible.
- Requests can be made after registration by contacting the conference organisers: [email protected]
- Proof of payment is required.
- Letters are issued as electronic documents (e-letter) via email only. A standardized template is used; personalized letters are not available.
Please note: If you cancel your participation after receiving an invitation letter, the relevant embassy or consulate will be informed.
